What information will we collect from you?

Open Course participants: Name, gender, position, organisation, email (both work and personal if possible), Skype contact (if available), work phone, mobile number, your responsibilities, objectives for training, testimonials

 

Tailor-made participants: Name, organisation, preferred email, testimonials.  Other information as above may be collected if mutually agreed

 

Consultancy contacts: Name, position, organisation, email (both work and personal if possible), Skype contact (if available), work phone, mobile number, testimonials

 

Who will collect this information?

IMA International staff, facilitators or consultants will collect this information

 

How is your information collected?

Open Course participants: You will complete an online form from our website www.imainternational.com or provide us the required information in an email or over the phone.  Testimonials are collected during or just after the course usually alongside evaluation responses

 

Tailor-made participants: You will sign a registration document with name and preferred email contact details during the training.  If all participants are from the same organisation then there is no need to collect organisation name detail, if not from the same organisation then it is likely we will ask you to share this with us on the course registration form.  Testimonials are collected during or just after the course usually alongside evaluation responses

 

Consultancy contacts: We will complete a contract information sheet from the information you provide us.  Testimonials are collected during or just after the consultancy is completed

 

How will your information be used?

Open Course participants:  We will use your information to communicate with you before, during and after the course.  We will share your information with others on the same course as you unless you do not wish this.  With your permission we will share your information with others interested in finding out more about our training courses and/or who live in the same country as you.  Testimonials may be displayed in our online (website and/or updates) or printed media (brochure and/or stories of change) content

 

Tailor-made participants: We will use your information to communicate with you during and after the course.  With your permission we will share your information with others interested in finding out more about our training courses and/or who live in the same country as you.  Testimonials may be displayed in our online (website and/or updates) or printed media (brochure and/or stories of change) content

 

Consultancy contacts: We will use your information to stay in contact with you during the preparation, delivery and follow up phases of the consultancy assignment with you.  Testimonials may be displayed in our online (website and/or updates) or printed media (brochure and/or stories of change) content

 

Who will your information be shared with?

Open Course participants: We will share your information with others on the same course as you unless you do not wish this.  With your permission we will share your information with others interested in finding out more about our training courses and/or who live in the same country as you

 

Tailor-made participants: With your permission we will share your information with others interested in finding out more about our training courses and/or who live in the same country as you

 

Consultancy contacts:  With your permission we will may use your information to support our proposals for new consultancy assignments

What will be the effect of our collecting your information on you?

We will endeavour to remain in contact with you in the future to be sure that you are aware of our current training and consulting offers.  For alumni we require your information to confirm that you are automatically eligible for our alumni discounts (15% as of April 2018)

 

Our collecting of your information is unlikely to cause you to object or complain but if it does then please follow our complaints procedure

 

Our commitment to you: At IMA International each of our customers is important to us, and we believe you have the right to a fair, swift and courteous service at all times.  Once we are in receipt of any complaint we will deal with it promptly, effectively and in a positive manner.

Complaints Procedure

  1. We will acknowledge all complaints promptly
  2. We will investigate any complaint and endeavour to send a final response within 4 weeks of receipt of the complaint. If we are unable to provide a final response within this time we will send an update
  3. For open course participants in the UK.  If more than 4 weeks from the date of the complaint has passed and the client hasn’t received a final response, or they are dissatisfied with the final response they have received (at any stage of the process) you can write to: The British Accreditation Council, Fleet House, 5th Floor, 8-12 New Bridge Street, London, EC4V 6AL

 

Internally, we have a documented process that helps identify preventative measures to avoid complaints in the first place.  This procedure follows the following steps:

 

  1. Reference
  2. Date Raised
  3. Who raised it?
  4. BRIEF description of complaint
  5. Is this Corrective or Preventive? (C/P)
  6. What is the potential cost of this?
  7. What is the ROOT CAUSE?
  8. What action is to be taken (to correct the immediate problem and prevent recurrence)?
  9. Action Required by Date
  10. Date for checking effectiveness of actions
  11. Date Checked and Signed-off as closed
  12. Carried-on to Nonconformity No. (if not effective)

 

We are a learning organisation and promise to respond to complaints received and learn from them.
