‘Formation en gestion des connaissances’: Knowledge Management (KM) in support of APEFE’s strategic planning process

APEFE is the Association pour la Promotion de l'Education et de la Formation à l'Etranger (Association for the Promotion of Education and Training Overseas). It is a Belgian non-profit, working on skills development and institutional capacity building mainly in West, Central Africa and North Africa.

APEFE called us in because the managing director, amongst others, was keenly aware that the promotion and the culture of knowledge management can really support their current strategic planning process. He wanted to bring the whole APEFE headquarters team together to learn about knowledge management and understand how the concept and the practical applications of knowledge management can support their everyday work and the work they do with their current staff and partners and their implementing partners overseas.

After a couple of skype calls to clarify APEFE’s expectations and our offer, Silvia and Ruth facilitated the first 2.5 day workshop. With the whole staff team of APEFE we started by exploring key KM concepts and together we agreed collective vocabulary that is relevant for their context and for their organisation, as in French some of the common English terminology isn't yet widely used.

We discussed how the team could put key KM tools into direct use and application.  After the second day the whole group decided when and where they would use their first After Action Review in a strategic meeting.  During the workshop we looked at making real some of the concepts of knowledge management, delving into how an organisation really grapples with making the tacit explicit. We questioned how far reaching, and how effective, the horizontal and vertical knowledge flows are and whether APEFE currently really learns from lessons, both successes and seeming failures. We surfaced the daily life of APEFE in programmatic work, internal systems and events and also external activities and demonstrated really that knowledge sharing is already happening in the day-to-day work. APEFE’s task is to choose how to best enhance this sharing to really get the right knowledge to the right people at the right time in the formats they most use.

So essentially we began to see with the whole team that knowledge sharing is really about making life easier and that is the case that we are trying to build as APEFE develop their strategic direction.

As part of next steps, the whole staff team made requests and offers as a live illustration of demand and supply in any organisation. Each team member thought of short-term offers they can make to colleagues, as we all as short-term requests they need to work more effectively. The team then managed to match most requests with offers, generating more, and members committed to keep to these actions before our next meeting.

In the next six weeks before the 2nd KM workshop, the APEFE team are putting some KM tools into practice and will consciously take steps to develop a culture of feedback.
